This policy explains what we do with personal information when you visit datapartners.co.uk, send us an enquiry, or become a client. It is written to be read, not to be survived, so if anything here is unclear please ask.
Who we are
Datapartners is a trading name of Securio Ltd, a company registered in England and Wales, company number 4569212, registered office 60 St Nicholas Road, Witham, Essex, CM8 2JE. For the information described on this page, Securio Ltd is the data controller — the organisation responsible for deciding how it is used.
What we collect, and why
When you send an enquiry
The enquiry form asks for your name and email address, and optionally your company name and telephone number, along with the subject and message you write. We use this only to answer you and to keep a record of the conversation. Our lawful basis is legitimate interests: you have asked us a question and we need your details to reply. If the enquiry turns into work, the basis becomes performance of a contract.
When you simply read the site
Our hosting providers keep standard web server logs, which include your IP address, the pages requested, the time of the request and your browser's user-agent string. These exist for security and fault diagnosis, under our legitimate interests in keeping the site up and safe. We also use Google Analytics to understand which pages are read; that relies on your consent, and it is covered in detail in our cookie policy.
When you are a client
We hold the contact details, correspondence, contracts and billing records needed to run the relationship, under performance of a contract and our legal obligations for accounting records.
What we do not do
- We do not sell, rent or trade personal information to anybody.
- We do not send marketing email to people who have only made an enquiry.
- We do not build profiles of visitors or make automated decisions about you.
- We do not ask for payment card details through this website.
How long we keep it
| Information | Kept for |
|---|---|
| Enquiries that do not become work | 24 months from the last message, then deleted |
| Client correspondence and project records | The life of the relationship, then 24 months |
| Invoices and accounting records | 7 years, as required for tax purposes |
| Web server logs | As set by our hosting providers, typically weeks rather than months |
| Analytics data | As set in our Google Analytics property; see the cookie policy |
Who else sees it
We use a small number of suppliers who process information on our behalf. By category, they are our website and application hosting providers, our domain registration and email provider, our analytics provider, and our accountancy and payment providers. Each acts under contract and may use the information only to provide the service to us. We are happy to tell you exactly who they are — just ask.
Some of those suppliers are based outside the United Kingdom. Where information is transferred abroad, the transfer relies either on UK adequacy regulations or on the UK International Data Transfer Addendum to the European Commission's standard contractual clauses.
We will also disclose information where the law requires it — for example a valid court order.
Data on our clients' own systems
Running and maintaining a client's website means we can often see the data inside it, which may include that client's own customers or members. For that data we act as a processor, not a controller: we use it only to do the work the client has asked for, under their instructions and our contract with them. If you are a customer of one of our clients and want to know what is held about you, ask that organisation — they are the controller, and we will help them answer you.
Your rights
Under the UK GDPR you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete information, where we have no continuing reason to keep it;
- ask us to restrict how we use it, or object to our using it;
- receive it in a portable, machine-readable form; and
- withdraw consent at any time, where consent is the basis we rely on.
There is no charge, and we will respond within one month. We may need to confirm who you are first.
How to contact us about this policy. Email us via the enquiry form, or call 0333 800 1881, Monday to Friday, 9am to 4pm.
Complaints
If you are unhappy with how we have handled your information, please tell us and we will try to put it right. You can also complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113. Contacting us first is not a condition of complaining to them.
Changes to this policy
If we change how we use personal information, we will update this page and change the date at the top. Significant changes affecting existing clients will be sent to them directly rather than left here to be discovered.
